OVERVIEW
Continuing from a long-standing partnership supporting Severn Trent with their Leadership Events, we were proud to support with end-to-end project management for the three day events for over 900 business leaders.
The objective for the 2023 set of events, that included a fourth day for investors as part of a Capital Markets Day, was to be closely aligned with the organisations Societal Strategy. Following extensive site visits for alternative locations where a legacy could be left, the chosen location was the disused Ikea building in the center of Coventry within which Severn Trent are looking to build a customer hub as part of the two-year regeneration.
Aligned with the Societal Strategy, and the values of the location management company running the space, the 2023 was to be as sustainable as possible.
Following the initial site visit, it was quickly identified that the disused building was very tired and so our designs focused around enhancing the space through lighting – playing homage to the iconic location a large percentage of the audience would have visited when it was the furniture store, but distracting from the grime.
Moving to the space design, we complimented the lighting design and moved away from bespoke scenic builds by using screens to provide digital theming options. For the event that consisted of an open and close in one space with three additional rotational breakout spaces, we created different feeling spaces that could be transformed to reflect the theme of each breakout.
This included a large 16m wide curved LED wall utilizing our Absen 2.5mm panels for the opening address and a breakout launching the 5 year plan; a modular LED stacked space to create an immersive environment for multiple themes in one session, and additional spaces using multiple large LED displays for scene setting backdrops as well as content sharing. Both were managed by our Barco E2 systems.
One breakout, that was in the large arrival / catering space that was transformed using outdoor furniture, and lighting including our Aytron Karif-LT fixtures also required sub-rotations and so illuminated inflatable walls created sub-spaces.
As part of the complete project management, we sourced local caterers for the conference and evening press / stakeholder additional events and supported them with ‘back of house’ requirements. A central catering station was created, complete with screens to replicate the digital signage common within Ikea stores.
For such a large project, with five arctics, one 18t truck, five vans and over 40 rig / de-rig crew detailed scheduling and planning was required. This was coordinated via multiple Production Managers and Furniture / Signage Managers for the event build over multiple floors.
The event management continued into the event week, working closely with the client event logistics team. This included our in—house registration check-in system, breakout timer system, a dedicated team of breakout technicians and camera/autocue operation for additional on-site filming requirements. We were even kept on our toes with curve ball intricacies associated to transforming a film location/blank space into a conference venue. The 7-day project certainly increased our individual average daily step count and we are proud of how the reality was aligned with the proposals shared to help with content planning and pre-event rehearsals.
