Huws Gray needed to bring together personnel from across their many group businesses all in to one room. The event should be engaging, interactive and have a WOW factor. From initial brief to completion in 8 weeks.

The brief extended from full on-site production to include design support with 2D and 3D assets including an opening ‘bum settler’ video that was impactful and encapsulated the companies rich history. Content management support would be required to work with all of the independent brands within the Huws Gray Group.

The event had numerous time related challenges, including the necessity for an overnight rig, following off-site content rehearsals, ready for presenter familirisation bright and early on the show day.

After sharing a variety of design options with full 3D renders, a space design was collaboratively agreed to be both practical and impactful, to engage the very wide audience.

Working to brand guidelines and the event identity of ‘Unlocking our Potential Together’, an event identity was created including a suite of PowerPoint templates. Pre-event production support was given via multiple meetings as the variety of teams worked on elements of the event planning.

In conjunction with PowerPoint content management, motion graphics were created complete with bespoke sound design.

When on-site, the rig crew built flown LED screens in addition to a 9m x 4m supported digital stage backdrop. The content on the central screen used multiple presets from our Barco E2 to allow for multiple content display options. This enabled the content design to help signpost the elements of the day, information for live interaction or for tiled video/PowerPoint relay.

The stage was built to accommodate panel discussions utilising our stock of stage furniture and the hard fascia was enhanced with LED strip lighting detail to reflect the Huws Gray brand and to compliment the lighting design of multiple LED battens to make a creative statement working with the width of the room.

As this was the first occasion many colleagues had been all together for a conference it was important to capture and create a buzz when leaving the event. We supported with the management of an on-site video capture and edit team to create a montage that encapsulated the day and would be played out during the closing session. This included constant stage camera capture from both manned cameras and remote PTZs. A photographer also captured stills to reflect the feeling of ‘One Huws Gray’.

Working with the in-house rigging team (StageCraft UK), we drew up plans for them to install over 50 meters of truss for our LED walls and lighting, plus 2 x motors for our flown line arrays and hide the entire rear wall with black drape.

Video comprised of a central 9m x 4m LED wall, plus dual 4.5m x 2.5m side screens using our Absen 2.5mm PL stock. These were controlled and managed by our Novastar 4K controllers and Barco E2.

Graphics playout was via our powerful GFX playback racks, plus Slido interaction and countdown timer solutions from additional GFX machines.

Dual 75” presenter comfort monitors were installed and utilized our dNotes solution to integrate with the PowerPoint presentation notes to deliver notes in AutoCue style.

Video capture was via our range of Sony broadcast cameras including FX9, FX6 and FX7 PTZs with control and records all managed from backstage onto dual Atomos Sumo recorders.

Audio was pre-planned and calculations created in order to best position dual flown D&B T10 line arrays, plus front fill using Y7P and E6 units. B4 subwoofers for VT playback and all powered by D20 amplifiers.

The event used 16 x ways of Sennheiser G4 mics with DPA headsets, QL5 control and Dante networking as well as RIO racks.

Our team used both wired and wireless comms systems to communicate during the event which was also fed the PGM feed.

We created a 9m wide x 4m deep stage at 2ft height and finished with bespoke green fascia and treads with a dual LED tape strip edging that was DMX controlled and illuminated in the brand colours.

Within the main event space and reception areas, we utilized our battery intelligent lighting including 36 x wireless DMX uplighters plus 16 x Astera Titan Tubes.

Lighting in the main event space also consisted of an LED stage wash using 8 x Elation KL Fresnels for an even coverage. A total of x14 Ayrton Karif LT moving head fixtures were used to help create an atmospheric look for the various elements of the day which was enhanced by the use of dual haze machines.

We chose not to utilise the venue room lighting and therefore installed x8 SGM Q7 fixtures on the truss to illuminate the event space as be able to take full control of the room state, including bringing up the brightness for audience participation elements.

30 x 1m EPIX LED pixel strips were mounted on bespoke black rigging to create both height and interest left and right of the stage. These were controlled by pixel mapping software that complimented the main lighting rig which was controlled by an Avolites Quartz.

9 meters of GLP X4 impression bars were positioned underneath the central LED wall on stage to both mask the footer bars, but also create back light.

A range of furniture including our low Swan chairs, plus high Lopez bar stools were used on-stage for the event. Plus additional items such as our lanyard holder stands and A4 signage perspex displays helped in the registration areas.

Power was distributed using our 125a 3ph power distribution racks in order to provide connections for Lighting, Video and Sound. Power was all pre-planned and mapped out by our qualified electricians in advance of the event.

We also used over 50meters of our black Wentex pipe and drape system to create storage areas and LED wall masking.
