OVERVIEW

Our friends at Silverstone recommended us to a new client of theirs to help deliver technical and logistics elements to their large high-profile awards event In March In Halls 2 & 3 of The Wing.

Working directly with Michelin with limited time, we were able to design and visualise fitting event / after-party event areas creating multiple pockets of spaces to aid in delegate flow.

The event was for 450 VIPs and also to be streamed to a live online audience of tens or thousands of viewers eagerly awaiting the coveted Michelin award announcements. White Event Production worked closely with Michelin and attended multiple site visits/online calls to discuss flow, content and logistics to ensure the event was as seamless as possible.

Using our existing working knowledge of the venue, we chose to turn Hall 3 into both a reception drinks area and divide it using a drape line for an awards event space also.

The Hall 3 mezzanine would be the initial welcoming area for delegates arriving via the hotel bridge and we illuminated this with clever LED lighting and helped provide logistics support in the form of cloakroom staff and furniture. Event branding was installed on welcome registration desks also by our team.

In the drinks welcome area, we provided our modular T3 graphics solution to create an 8m wide x 2.5m backdrop frame for a printed step & repeat logo graphic, complete with a red carpet and our gold rope and post furniture - this was a fantastic opportunity to get pre-event photos and aided by our Chroma-Q lighting fixtures rigged above. The area was complimented by our neat freestanding sleek speaker system to provide voice of Gods and background music audio.

The drinks area led nicely into the awards plenary space divided by a line of red velvet drape with door portal access for a 'big reveal'.

In the awards space, we utilised our own 2.5mm Absen LED wall to create a 15m wide x 3m high high-resolution screen to display bespoke video content played out by disguise media servers via an E2 for switching/camera PIPs. Our Novastar 4K processors drove the LED wall.

A large truss was Installed above the audience to home a variety of LED lighting fixtures Including our Karif-LT moving heads complete with custom logo gobos for the event. The truss also supported a D&B line-array for audio using our T10 range.

The event was live streamed across Facebook and YouTube using one of our custom VMIX racks aided by our LiveU bonded 4G data system to ensure a stable internet connection throughout the livestream. We Installed 5 x 4K cameras on the event including 2 of our Sony FR7 PTZ units complete with AV line switches and controllers and all simultaneously recorded on our Atomos Studio II record rack. As well as on-site camera operators, we also provided 2 x followspot operators to pick-up awards winners on the room as they walked to stage. All lighting was complimented by MDG CO2 based haze machines to add fine mist into the lighting beams.

A modular stage finished the awards platform with its slick black gloss vinyl flooring complete with large vinyl logo application and custom red branded lectern.

In Hall 2, we created a DJ plinth on the mezzanine complete with an array of floor-supported truss structures to house a variety of lighting including strobes plus haze machines. DJ equipment was provided by us also along with a ground-stacked HK audio line array audio system.

A central large 23m long x 7m wide truss was flown above the catering area to fly additional PA on as well as lighting fixtures to highlight various partner stands as well as moving lights to aid the party DJ atmosphere and complimented with 100m of our LED festoon. We supported the partner exhibition stands with the provision of exhibition furniture, display fridges and 55” display screens.

We also provided an additional 3m wide x 2.4m high graphics frame and step/repeat logo graphic for further imagery in the night complete with a couple of our Chroma-Q lighting panels.

Chesterfield style sofas complete with tables and lamps were provided by White Event Production to add a soft-seating chillout area underneath the mezzanine in Hall 2.

We also provided our Motorola radios as part of our on-site logistics.

The event was a massive success and our client said it was a pleasure to work with us and for the event to be so seamless and stress-free on the day:
